I'm planning on migrating from one exchange server to another. From 4smartphone to an inhouse server. I completely understand how to do this on the desktop (export all contents to a pst, setup new exchange, import pst, let that sync up to exchange). I think the best course of action for the phone is to "zero out outlook" on the phone so that when I set it up it can resync with the new exchange. But I'm just not sure how to do that. Any ideas? I'd just as soon not have to hard reset the phone.
TIA
Does it really need to be done? Once you re-import everything onto your new exchange server the phone is just going to re-sync with Exchange... Just set activesync to have the server win, then set it back to default afterwards. I don't really see the need for zero'ing out the outlook...but that's just me.
Go into activesync on your hermes and remove your exchange profile. It will blow away all of your messages tasks and your contacts. Now go move to your new server using PST method you described. Next, set up the new server in activesync. All contacts/messages/tasks will be restored. If you don't do this you will duplicate contacts for sure and possibly tasks as well.
Thanks for both postings. A year ago, I did something where I had first sync'ed my phone via USB and then got exchange working and ended up with duplicates of everything. I don't remember how the "let the server win" bit was set.
I suspect the problem with "let the server win" approach is that the server wins, but it sees some or all of the old entries as new (to the new server) entries and sync's them up regardless. There's probably some hidden value that it's matching on like a GUID.
No need to zero out exchange
Just in case anyone needs to do this. I went to ActiveSync and removed the old server. It warned me this would leave the contacts, calendar, and tasks. Email was erased. I'm still surprised by email being treated differently than the other folders, but whatever. I then spent some time trying to figure out how to delete the left over stuff. Couldn't find an easy way so I tried setting up the new server, being sure to have the setting of "if differences, replace the item on the device". It worked like a champ. 15 minutes of sync'ing and my device was back to 100% with the new exchange server.

Hi all,
I am trying to figure out why my pop3 accounts (i have 2) always seem to disappear after a day or so of me opening them. One account gets all of the email and the other gets headers only. but when i try to open up the two accounts or even go into outlook express, they are never there.
I can't find any setting that says keep all email that I don't delete. Can anyone advise please? It's probably a simple answer but I can't figure it out yet :\
TTT please advise!
You need to be more specific. Which email service are you using on your device? If it is Gmail then you need to let the device auto detect the settings and leave the default usename to "recent:username". Otherwise the messages will go away after a day or 2.
sorry i didnt think the email service would matter. it seemed like more of a settings on the phone issue. its roadrunner, time warner - pop.nycap.rr.com
i receive them fine and that's no problem. but they just go away after a day or two even if i haven't synced. why wont they fill up my inbox like microsoft outlook does on my pc??
Well you may need to check your email account settings on roadrunners website. For example when you log into a gmail account on the web there is a link for Pop/forwarding settings. In there you can set "Status: POP is enabled for all mail that has arrived since 8/2/04". Once this is set then all mail will stay on the device after 8/2/04. Assuming roadrunner has a setting like this then you will want to make sure it is setup properly via the roadrunner website. However if email is staying in outlook on your home pc and not on your device then this might not be your problem.
If I were you I would first delete the account on your device and set it up again making sure you allow the device to detect settings automatically.
Well, I only use a exchange server but in activesync dont you specify how many days of emails you want to store? Default is 3 days, so emails automatically are removed from the phone after 3 days.
surrept, thanks i will check that out - i never let it do auto detect cause the few times i did it wouldn't pick anything up. and i assume my roadrunner is set to keep them since my PCs outlook has them all the way back until i set up my account? weird. also, in the messenger tab, i see
"OUTLOOK EXPRESS"
"EMAIL1"
"EMAIL2"
email 1 and 2 being the two roadrunner accounts that i receive to my phone..should they be set up right inside outlook? maybe that's part of the problem?
fredde, i dont often activesync because my PC no longer recognizes my handheld, i need to sync via my laptop but i do it rarely since i dont use it all the time. like once a week maybe i sync. but the emails disappear more frequently than that. i will sync up and see if i can see that option.
thanks for the tips guys
No outlook on the device is reserved for the outlook accounts on your PC. That mailbox will fill up as you sync it up with activesync. But only when you do that. You want the 2 email accounts below that you said you have. Those if setup properly should connect to the pop servers the same as outlook would on a pc. Like the poster said above make sure in advanced account settings that you have it set to keep all mail on device.
well i've made some headway - i learned that the emails disappear from my handheld as soon as I mark them as read (open them) on my PC...so now where would the setting be to have them stay on my handheld until deleted from there?? its like the hard copy never gets created on the phone they just stay on the server??
I changed it to keep all, however the weird thing is that the two accounts I have on my phone are the same two set up in my Outlook on my PC - so one would think it would work with either the phone settings or the activesync to keep them in the phone!? so confusing.
what i really want is the two email accounts on my phone (same as PC) to get new mail, and if i don't delete it, in a day or so have them go into the outlook on my phone so that they will be stored the same way Outlook on your PC stores email. By date, so that you can search them quickly etc. I dont know why it wouldn't do that.
Anybody know of a program that is a suitable replacement for Microsoft Outlook which can sync to the Touch?
I'm coming from the Palm platform and the Palm Desktop was so much easier and simpler to use.
I've seen replacements for the Touch contact program but nothing to replace Microsoft Outlook for the desktop.
I'd like to remove Outlook from my computer and find something that would sync contacts and or appointments to the Touch.
http://funambol.com/
There are a lot of other possibilities to replace outlook and/or activesync. But after reading the adventures blog of someone who tried them all out it was very convincing that this is the best. Actually he described 8 different solutions on his blog, most of which I had not been able to find googling for over two days.
For those of you who are still relying on Outlook: it has proven it's reliability to me from 1997 till last week. Then it crashed, refused to open my pst file with all my contacts, my appointments, my tasks and an email archive of overr 3 years. It also refused to start with a backup pst. It also refused to start from scratch with a new profile and import either an old pst or comma delimited backup.
It'll take me some time to recover from this horror scenario
I'd just like to pipe up and say that I'm not a fan of the ActiveSync/Outlook combo either. I always end up with duplicate or even triplicate contact entries. A friend of mine who uses Hotmail as his primary email says he doesn't have this problem, but I refuse to be forced into Hotmail just for this purpose.
If your primary email is GMail, then follow the directions here:
http://www.google.com/support/mobile/bin/answer.py?answer=138636&topic=14299
And your contacts and calendar will stay in sync via Google's own Exchange server. Unfortunately, they don't have Mail syncing via Exchange yet for some reason. But you can set up GMail with IMAP in your Email client, or you can download a third-party push-email software which will allow for a further realtime-ness to it all.
As for desktop software beyond Outlook, I don't think I can make any suggestions, I've been on GMail for a long time now. And even more so, I've been using Android full time for nearly a year now, which is even better than my above suggestions, as long as GMail is what you use primarily.
I was having some setup issues with Gmail pop; I’ve found a workaround so thought I’d share it.
I like to check my email regularly with the HD2 throughout the day, but manage the majority of these through Outlook when I get home. So on my HD2 I set up a pop mail account to check my Gmail at regular intervals (5 mins), get the entire message but leave a copy of the message on the server so I can still access these with Outlook later.
Problem was whenever the HD2 downloaded an email despite the setup being configured to leave the message on the server these mails were marked “as read” by Gmail and archived, presumably because my Gmail account was set to “archive emails that have been accessed through pop”. This was clearly overriding the “leave a copy on the server” setting. So I’d get an email on my device, this was then automatically removed from the Gmail inbox and archived, 5 minutes later the HD2 would check again, see the inbox was empty and therefore delete the email from my device. Outlook never got a look in as when I got home all the emails had been archived so it was seeing no emails at all.
Hence the disappearing email problem.
Firstly I tried changing the Gmail setting to “keep Google mails copy in the inbox when it had been accessed by pop”, this worked to a degree but I found it slightly irritating having to go in and manually erase all the emails in my Gmail inbox once I had downloaded them.
I then tried enabling imap in Gmail and binning pop access altogether, i.e., accessing all my emails through imap both on the HD2 and on Outlook. Again this worked to a degree but I have Outlook set up a particular way and I found that imap didn’t really work for me in that regard.
Eventually I sussed getting it to work the way I want, I set up both pop and imap access in Gmail. I had the HD2 accessing mails through imap, and Outlook accessing through pop (with the setting for ” archiving emails once accessed through pop” enabled in Gmail). So the HD2 would accrue all the emails that I received throughout the day and keep these in the Gmail inbox so when I fired up Outlook at home these were still there to be downloaded. Of course once I had retrieved these emails through Outlook these were automatically archived by Gmail and only then were they removed from the HD2 then next time it checked the server, which was fine as they had been dealt with and were no longer required, perfect!
So that’s been my weekend really, hope it helps anyone that wants a similar setup.
POP is the wrong method for your interest.
POP catches the mails from your server and deletes em from it.
You only need to use IMAP method to leave a copy on the server.
Just that easy.
You could have saved a lot time if you only setup imap in your email settings in the phone.
All other stuff was completely too much. Sorry
Im using that method since i had the Touch HD and still use it with Gmail on the HD2 and my mails stay on the huuuuuuge google servers too.
Undoubtedly imap has its advantages, certainly on the phone its working well for me.
You did raise a point:
"POP catches the mails from your server and deletes em from it"
Should this happen when the you have set-up an account on the device thats configured to "do not delete messages from the server"? Because despite my account being set-up this way my emails were being deleted (or archived, either way, disappeared!) nevertheless. That's specifically why i wanted to detail why I did what I did as I'm sure this issue could catch other people out.
POP is designed to catch mails AND clean up your email account on the server.
This makes sense when you have limited storage space (i have an arcor account too and have only 25mb on there).
From my knowledge the client and server must support the "leave emails on server".
Look in desktop Outlook you have the opportunity to check a box with this option.
In our pda version of outlook we dont have that option.
This is mostly the reason that the emails get deleted when using POP.
IMAP is designed to give you the opportunity to have a look at your emails like on the server.
When you read an email on your pda the mail will be automatically flagged as read on the server too.
It is some kind of sync.
There are these two well known ways just to give you the opportunity and fulfil your needs. Just use the one that serves you well.
In your case this will be IMAP
"From my knowledge the client and server must support the "leave emails on server".

When i was setting up the account on the HD2 I was ticking this option to leave message on server upon deletion (see screen shot), although it seems i was misunderstanding this function.
Yeah the function you checked was only for the deleted mails.
It just tells the server what to do with the mails that you deleted on your device.
Sounds good, I'd just replace imap access on the HD2 with activesync, even better.
I'm interested in what your "weird configuration in outlook that makes you not able to use imap" is though.
I am trying to test out my company's first Epic and I put in all the info, email address, domain\user name, password, server address. It accepts my info, I take the defaults of how much data to transfer and frequency, then it brings me to the mailbox. It shows my sub folders to the inbox, it populates my calendar and contacts. It leaves me on the main inbox folder and then a yellow bar comes up " Unable to open connection to server" and nothing populates in my inbox.
My company is on Exchage 2003, I have a vibrant working just fine as well as a HTC evo. I tried with multiple exchange accounts on the same server but get the same result.
Anyone have any ideas ?
Same Problem with Exchange and Epic 4G
We are using Exchange 2003 as well. Contact, Calendar, and other mail folders show up just fine. I can see sent items, deleted items, and all other sub folders. When I try to load the inbox, I get the same error message.
What gives?
I just picked the phone up about 2 hours ago and came right here to figure it out!
My company uses Exchange 2008 and I'm able to connect just fine. So much quicker and easier than the moment.
I had the same problem. I had to go to gmail and import my contacts for hotmail and then sync my phone to the gmail account.
i heard that when 2.2 comes out, the exchange settings would work.
i am only getting 50 of my 812 contacts to import.

I lost about 20 out of 252. So I just went back added the ones I'm missing.
Active sync support with most android phones is very dodgy -- some work and some don't. And I'm not talking about some models over another -- it's a unit specific issue. Some Epics do and some don't. The same thing was happening with the Droid X. The only models that consistently work are from HTC because they have their own active sync program in sense.
no workie, workie, now no workie
So i was here back at the beginning of September. Exchange would not load my inbox, then one day it started working for no reason I could find. I stopped using Moxier Mail and went to the built in email program.
Then two days ago, my Exchange account and another IMAP account I have set up on the mail client disappeared from the phone. NO idea why. My email, contacts, and calendar just vanished.
So I added back my exchange account, contacts and calendar came in just fine. Now my Exchange mail is back to where I was two months ago.
"Unable to open connection to server", that's all I get on the screen for my inbox.
Epic 4G, Exchnage 2003, built in mail client.
So I have a similar infrastructure to you, we run Exchange 2003 currently and have had numerous issues with the Epics. I have a couple tricks that really seems to help (at least in my environment)
1. When setting up the phone make sure the Calendar amount is set to All
2. Setting up the phone over Wi-Fi as opposed to the mobile connection seems to work significantly better.
3. If you have issues with the users calendar 9 times out of 10 its due to corrupt entries which not only cause issues with the calendar syncing, but also consume a huge amount of bandwidth. To correct this create a new calendar in Outlook, go into List view and copy everything from your calendar to the new one. All entries that cant copy need to be deleted. Move all your stuff back from the temp calendar to yours and the issue should be fixed.
I am running the leaked 2.2 on my Epic currently and it does seem to address a lot of the issues the Epic had with 2.1 and Active Sync.
Hope this helps and let me know if you have any questions.
I have managed to set up an Exchange account on my phone to sync my work calendar only.
I have got it working but the problem is that I want it "read only" on the phone so that any items I delete on the phone are not deleted on the server.
I have set it to "keep items on the phone" and also "replace items on phone"
The first time I deleted an item on the phone exchange calendar I found it was also deleted on the server/work calendar (I think it was set to "replace on phone")
But since then no matter what I set it to if I delete something on the phone it seems to sync with the server and then come straight back onto the phone so I can't get rid of it...
In WinMo I could explicitly set how to do the sync but can't seem to do that here - any help please?
Okay maybe a coincidence but just noticed something else.
Anything on the work calendar that had been added (at work) via Outlook - if I delete it from the phone it is also deleted off the calendar.
Anything I add to the work calendar using OWA does this yoyo thing with coming back everytime I try to delete it from the phone....
If your using the exchange it is only being stored/read from the one place.
It doesn't store locally.
I don't know how you can delete from the phone and not the server...
I used to save my outlook calendar as an .ics file and then import it to my google calendar. Now I just use touchdown.
That said... I want my calendar to be exactly the same on my phone as it is on our exchange.
There are some recurring meetings which are useful to keep track of at work but clutter the phone calendar.
I guess I could export but then I would have to keep doing it when new meeting are added.
The different behavior regarding appointment created with outlook and owa is odd but interesting.
