Email - leaving emails on device after deleted on server - HD2 General

Well, I have a small problem...
On my laptop and hd2 I selected: keep messages on server, so when I delete them from laptop or phone, emails can still be stored on main computer, because they are kept on mail server...
But after I run sync on my main pc, messages are deleted form the server, and all ok with that, I want them to be deleted so I have more free space for new email's.
But when I send/receive email's on hd2, the old email's aren't shown anymore, I guess they delete themselves because they aren't on email server anymore?
But some one these email's are important because they keep important information or just something I might need, and I would like to keep them on the phone.
Is it possible to prevent them from being deleted after they are already downloaded to the hd2?

From my experience it has to do which kind of server you are using. I know that pop3 servers do not save the emails on the server once they are downloaded to your client. Try using an imap server if your email provider has one.
Edit: when i read your question again I think I missread it the first time.

I use pop and everything works fine on laptop.
Problem is only on hd2, email's which aren't on server when sync begins are deleted...

I know that e-mails are still kept on POP3 server but hd2 somehow deletes its internal view and shows only last e-mails (last day(s)). I do suspect that there is possibility somewhere to define view window (e.g. 2 weeks or more ....) to see all e-mails.
Can anybody help ?

I have the same problem. After some days (I think 3) the EMail Client on the HD2 deletes (or doesn't show) previous emails when you connect to the server to get new ones.
There has to be some option to prevent it from doing this...?

I might be wrong in this, but my understanding of the "keep messages on the server" setting is that the server is the main source of messages, and they are not deleted from there simply by viewing them no another machine. It also means that the other machines (PCs, laptops, phones etc.) only get copies of the messages, leaving the originals where they are. It does, however, mean that you can delete a message from a machine where you are viewing it and it expects you to mean that you wish to delete it from the server.
Like I said, I may be wrong in that, but that's my understanding.

Sync mail accounts and Outlook account?

I've not seen this one answered before, so hopefully someone knows now...
You can set up POP3 mail accounts on your phone, so you can download e-mail on the go. You can also sync the mail on your computer's Outlook onto your phone. But can you do both?
Is it possible to read the mail from your POP3 on your computer, via Outlook, sync it to your phone, then when you're away from your computer, download and read your new mail on your phone, then when you get back to your computer, have that e-mail that you downloaded sync'ed back to Outlook on your computer?
Very interesting question. As far as I'm aware it can only go one way. You can sync (download) to your phone, but I don't believe it's possible to sync in reverse (have mail sync from your phone to your pc). But just out of curiosity, why would you want to? As long as your "Leave copy on server" option is checked in outlook, your mail will always be on your email account's server until you delete it, so that should negate you having to sync mail back to your pc. Unless when you are downloading mail directly to your phone while you are away from home there is no copy left on the email server, which is definitely a possibility. If that is happening, I would contact the cellular service provider to see if there is a way to view basically a copy on your phone while leaving a copy intact on your email server.

Been thinking about the same question recently. And i can see the reason for wanting to reverse sync.
Say i have e-mail sync'd between pc & wizard. I go out and check my mail and download 5 new messages (leaving on the server). Now i go home and my pc gets the new 5 messages. when i sync will i end up with a double copy of my e-mail on my Wizard?
i cant currently test as my PC is in pieces so i've been using my wizard for e-mail, but its not under "outlook mail" but a new account conencting directly to the pop server, can i have 1 account that will sync to outlook or pop?

you can sync outlook and a pop3 account if seperate
for instance, i sync my inbox with my outlook which works fine
i also have a new "account" in my messages area which downloads my pop mail via gprs or wifi (whichever is in access).
when you download mail from pop, it still stays on server which is good... then when you get home, you can download these on the machine
as far as i know, you cannot sync the mails back to outlook because of the way it treats the mails but i might be wrong as ive not tried it... if i remember, i will trty when i get home.
also there is limits and attachment restrictions etc so not sure how they would work.
What the poster means (At least what I like to know), is if it's possible to sync Outlook mail. Then, on the go, you want to check if there's mail. Here you have to create an account. Is it possible to have the Outlook-account of the pda have the mail checked? So only the new messages, which haven't been outlook-synced are downloaded...
Because, now, on the go, when I do a Dial-in or on a Wifi hotspot, my 'Outlook' can't download new mail. And another account (the dial-in one) starts downloading messages of 3 days (I know you can set this, but that's only half a solution...)

The only two-way sync to the desktop is Outlook Exchange mail.
Hi I've been tracking this topic on many sites, and have seen no answer.
If you only have POP3 (imap and exchance are ok), you are screwed.
I have on the PPC the oulook boxes, and a seperate account (setup like the account on my PC-outlook), that works fine on Pop3 via wifi or gprs.
What any pop3 user likes to do, is sync your PPC, get out and reply, send and receive mails. This is how it works:
- read your mails, do a reply! (which is not possible, as the oulook on you PPC cant send receive)
- so you like to copy that mail to the seperate account (Which is not possible too, you cant move mails between boxes)
- so you copy the content to a new mail in the seperate account, (and add all the cc's that where in the list, ohw!) and do there a send/receive, done...
- really?... how to get your send-mail back to your outlook send items box???, so you set yourselves in bcc for all send mails (or get a program for that)
Its a pain and a waste of time (anyone who knows a better solution, tell me and dont tell me the Imap or exchance story)
I think the solution can be 2-ways:
- or a patch that makes the send/receive available for the outlook account on your PPC
- or a mailbox-copy / move function, that eases the copying between the accounts.
Anyone has these solutions?

IMAP to gmail configuration?

Hi,
I'd like to configure Windows Mobile to make that the delete mail action in my gmail account archives the mail instead of deleting it.
I've read some post over the web talking about this issue, and giving some solutions, but none of them for Windows Mobile.
In essence, the solution implies to change the "label" that is associated with the delete action, so it must change from "[gmail]/trash" to "[gmail]/All mail" (this is my own interpretation of what I've read, very simplified ), but I don't know how to do this. I've searched the registry and the file system looking for some configuration entries, but I've been unable to find any
Any ideas? Is this possible to do?
(my ppc is a HTC TouchHD, by the way)

1 of the differences between imap and pop3 is that
imap dont delete the mails
you should try to change to pop3 in your pda
Use the IMAP connection and just move the messages to a folder on your PPC, this will change the tags in your gmail account. Thus moving the email from your Inbox to the folder of your choice.

Rudegar, I've been testing the pop3 access, but I have a problem. I use POP (with MS Outlook) in my main computer, so I always have my mails there and organized as I want (folders, subfolders, filters to delete, move, etc...) This is my main "mail box" and I like it this way 8·). The problem now is that if I download one mail from one pop3 "reader" (be it the PC or the PPC) the other one "loses" the mail. I suppose that gmail marks the mail as downloaded by pop so it is not "served" anymore. This makes the pop option "not an option" 8·(
Deedee, I've been playing a little more with the IMAP folders, and, as you say, I can move the messages to folders. The problem here is that this is not so easy as simply deleting it, and letting gmail to keep it archived. What I want is to be able to delete the messages but to be sure that there are kept safe by google, just in case ;·)...
What I want to do is exactly what is described in this page (http://vjarmy.com/archives/2007/10/tutorial_easy_archiving_for_gmai.php), but I don't know if there is some way to do the same in Windows Mobile

As a nice "side efect" of using a spanish version of Windows Mobile, mails are never marked as "Trash", but as "Elementos eliminados", what, of course, gmail does not understands and treats it as a normal label. So emails are never sent to the trash folder, wich is what I wanted! 8·)

how to keep mails on the X1 that are allready gone on the server

The X1 always deletes the mails saved on the device if they arent stored on the server anymore after checking for new mails. Is there a way to keep mails that are no longer on the pop3 server?
If you are using POP3, the emails you downloaded to your device should stay there regardless of removal on the POP3 server. The only reason that would explain this behavior is that you are using IMAP and not POP3.
I'm using pop3 and the mails disappear.

That's not how POP3 works. You are describing IMAP server behaviour.

in options you have to select "don't delete mail from server" or "keep mail on server" I don't remember exactly but there in an option to do it, look around in advanced account settings
Well doenst really matter that its not supposed to work this way.
How do i fix it? Obvioulsy a bug, is it working with your phone?

Yes i have that option selected...the X1 is not deleting it from the server...its deleting it from the X1, after the mail is deleted from the server by my PC, on the next "send / reveicve" operation.
so check "don't delete message if deleted form server"... it's in advanced options too
Where would that option be? On the same page as the "dont delete from server option"? If yes i dont have that. (german version of windows mobile and Xperia) Maybe there is a direct registry setting if i cant get it through the options?
The problem you're having is most likely to do with retention. Eg "delete messages after 7 days". Use POP3 but also check your retention settings.
And where would i find this setting? I only find the option for downloaing Mails from today, 3 - 30 days old or all. But this hast nohting to do with deleting them once theyre gone on the pop3 server.
And thoose messeages dont vanish on their own...they get deleted after i check for new mails (its set up for manually doing that) and the experia notes that the mails is not on the pop3 server anymore.
So a "don't delete message if deleted form server" would be the right thing..just that i dont have that in my settings.

If the email is deleted/retrieved from the server by YOUR PC, the email is gone by the time you check for new email on your PHONE.
What you need to do is select the option to "KEEP MAIL ON SERVER" in your PC email program.
Either way, I don't think it's a good practice to POP your email from 2 different places (PC and phone in your case).
Of course its gone, but i dont download the mail AFTER its deleted by the PC...its allready on the X1 and it deletes it AFTERWARDS.
In fact my PC is set up to leave Mails in POP3 for 3 days..then they get deleted...and the X1 is set to dont delete any mails at all. But it does delete allready downloaded mails as soons as it finds out theyre not on the pop3 server anymore.
So back to the solution of this problem please?
The only way I found to keep messages on the phone is to delete them from inbox to the deleted items folder, they stay there till you delete them properly.
Im on btinternet and I dont like the idea of messages staying on the server so havnt enabled it.
What is the point of keeping messages on the server, can they be downloaded again?
I cant find an advanced explanation of how the phone interacts with the mail services so I just keep mail I need in the deleted folder in the phone, I even created a new folder in the phone called store to put emails in for keeps but they dissapeared from there as well !!
If you have important information in a mail, copy and paste the text to word or notepad just to be safe.
According to guap there should be a "don't delete message if deleted from server"-option but i cant find it. I cant believe that windows mobile mail software would be more stupid that a simple java email client i used the last to years before the experia.

go in your inbox -> menu ->tools -> options -> message -> warn when delete message from list
this way you can say "no" and keep your message. Quite annoyng but it worked for me on my touch. Now I don't care about it
Anyway, if you are interested in a serious client I suggest to swap to something better then pocket outlook
I have this checked...but always clicking yes on every mail check to keep my mails from getting deleted would be to annyoing even if it would work.
So what serious alternatives are there? And are they fully integrated into the OS?
nurps, have you doubled checked the settings to ensure you aren't using IMAP. The wizard will try to use IMAP by default, which by the sounds of things is exactly whats going on.
Its pop3. 100% sure.
I have set up the same account with pop3 and imap, the phone still behaves the same, deleting messages that have been downloaded to and deleted from pc.
I think this is stupid behavior. There should be an option to keep some email on the phone and not on the pc.
Edit; Put it this way I have 2 pcs with outlook express on, I can check mail with each one and they download mail individually but they dont clear the other pc of mail do they ! (mmm.. ? maybe thats wrong eh ..).
I like to choose what to delete from a particular machine and what to keep on a machine.

phone deletes emails by itself

not sure how this is happining or if its my mistake. but this has happenened to my more than once. the phone simply decides to deletes all emails prior to a spesific date without any confirmation. thank god that there it a copy of them in the deleted folder on exchange server

This is normal, outlook is designed so it only keeps emails from a certain number of days into the past, according to the email settings.
Enter you email settings and tell it to keep the emails from the maximum allowable time, I can't remember how long but the increments were something like Today, last 3 days .... etc.
it deletes all mails that are no longer on the server, nothing to do about it, except as a workaround maybe moving important mails from inbox to antother folder

but i am under the impression that the number of days in the activesync options is only for the initial sync with your exchange acount
I have the same problem. Once in a while my Gmail Inbox is empty. Glad it is saved in 'All Mail' but the behaviour is very irritating
Are you connecting to your mailbox, i.e. gmail-server or just syncing with your Outlook?
When using POP3 to connect to the gmail-server, it will download all mail to your phone, and thus delete the messages on the server.
Try to connect via IMAP4 and go to the settings of your gmail-account on your phone. There you can change the number of days to something like all messages- just for your gmail-account.
The phone handles "imported" mail from outlook like a "real" email-account on the net. Thus, you can set the number of days independently for each account.

why cant widows mobile be like blackberry it keeps all the email(compressed text on the phone) even when you remove the email to the local pst file it still stays on the device
I doenst matter if it imap or pop3, you can setup pop3 to leave a copy of the mail on the server btw.
But as soon as the mail is no longer on the mailserver (for example after downloading without keeping a copy on the server with your desktop pc) windows mobile will delete the mail from its inbox to next time you check for new mails.

Disappearing emails with Gmail(workaround)

I was having some setup issues with Gmail pop; I’ve found a workaround so thought I’d share it.
I like to check my email regularly with the HD2 throughout the day, but manage the majority of these through Outlook when I get home. So on my HD2 I set up a pop mail account to check my Gmail at regular intervals (5 mins), get the entire message but leave a copy of the message on the server so I can still access these with Outlook later.
Problem was whenever the HD2 downloaded an email despite the setup being configured to leave the message on the server these mails were marked “as read” by Gmail and archived, presumably because my Gmail account was set to “archive emails that have been accessed through pop”. This was clearly overriding the “leave a copy on the server” setting. So I’d get an email on my device, this was then automatically removed from the Gmail inbox and archived, 5 minutes later the HD2 would check again, see the inbox was empty and therefore delete the email from my device. Outlook never got a look in as when I got home all the emails had been archived so it was seeing no emails at all.
Hence the disappearing email problem.
Firstly I tried changing the Gmail setting to “keep Google mails copy in the inbox when it had been accessed by pop”, this worked to a degree but I found it slightly irritating having to go in and manually erase all the emails in my Gmail inbox once I had downloaded them.
I then tried enabling imap in Gmail and binning pop access altogether, i.e., accessing all my emails through imap both on the HD2 and on Outlook. Again this worked to a degree but I have Outlook set up a particular way and I found that imap didn’t really work for me in that regard.
Eventually I sussed getting it to work the way I want, I set up both pop and imap access in Gmail. I had the HD2 accessing mails through imap, and Outlook accessing through pop (with the setting for ” archiving emails once accessed through pop” enabled in Gmail). So the HD2 would accrue all the emails that I received throughout the day and keep these in the Gmail inbox so when I fired up Outlook at home these were still there to be downloaded. Of course once I had retrieved these emails through Outlook these were automatically archived by Gmail and only then were they removed from the HD2 then next time it checked the server, which was fine as they had been dealt with and were no longer required, perfect!
So that’s been my weekend really, hope it helps anyone that wants a similar setup.
POP is the wrong method for your interest.
POP catches the mails from your server and deletes em from it.
You only need to use IMAP method to leave a copy on the server.
Just that easy.
You could have saved a lot time if you only setup imap in your email settings in the phone.

Im using that method since i had the Touch HD and still use it with Gmail on the HD2 and my mails stay on the huuuuuuge google servers too.
Undoubtedly imap has its advantages, certainly on the phone its working well for me.

Should this happen when the you have set-up an account on the device thats configured to "do not delete messages from the server"? Because despite my account being set-up this way my emails were being deleted (or archived, either way, disappeared!) nevertheless. That's specifically why i wanted to detail why I did what I did as I'm sure this issue could catch other people out.
POP is designed to catch mails AND clean up your email account on the server.
This makes sense when you have limited storage space (i have an arcor account too and have only 25mb on there).

Look in desktop Outlook you have the opportunity to check a box with this option.
In our pda version of outlook we dont have that option.
This is mostly the reason that the emails get deleted when using POP.
IMAP is designed to give you the opportunity to have a look at your emails like on the server.
When you read an email on your pda the mail will be automatically flagged as read on the server too.
It is some kind of sync.
There are these two well known ways just to give you the opportunity and fulfil your needs. Just use the one that serves you well.
In your case this will be IMAP

When i was setting up the account on the HD2 I was ticking this option to leave message on server upon deletion (see screen shot), although it seems i was misunderstanding this function.
Yeah the function you checked was only for the deleted mails.
It just tells the server what to do with the mails that you deleted on your device.
Sounds good, I'd just replace imap access on the HD2 with activesync, even better.
I'm interested in what your "weird configuration in outlook that makes you not able to use imap" is though.
