Outlook 2007 rules and sub folders - Windows Mobile Development and Hacking General

Hi all,
A quick question.
I just started syncing mail with my wm6 device.
Problem is i have rules forwarding mail to my pst. These mail messages do not get forwarded to my device, so i miss out on them until i come back to my pc with outlook.
I tried to move all the folders under inbox and it will sync mail but you dont get any notifications.
Is there an app that i dont know about? Has anyone doing anything differently or can you suggest something.

if all your mail arrives to both your desktop and your ppc you can mark an option to keep the mail on the server and delete them from the server only when they reach your PPC.. unless i missed your point..

I'm not sure if I understood correctly, but right at the moment I'm battling the issue of POutlook not being able to sync 'big' Outlook folders other than Inbox (so, no Sent Items, no custom folders, no Junk Mail ).
This is an inherent limitation (and a liability) of ActiveSync. You may have heard a few choice words on its subject... and believe me, they are all true. AS is just the barest bones, nothing but.
If you DO look for syncing Outlook folders other than just the Inbox, you'll have to shell out quite a few bucks. A moment ago I've finished testing Chapura's Pocket Mirror Professional, a piece of soft that acts a bit like an add-on (or possibly a gateway) to AS. Looks promising, works as advertised, and costs 50 USD. Sigh.

To add a bit more info .. basically .. in outlook i have a personal folder (PST) and under that ill have employee1 .. employee2 etc ... so when i recieve a message from them the outlook rule moves it into the correct dub folder.
Now if a rule moves the message to the correct sub folder it doesnt send it as well to my HTC.
anything that doesnt have a rule .. ie just stays in my inbox .. will get forwarded on to my HTC.
So im looking for a way for it all to come to my HTC WM6 inbox.

I use an Exchange 2003 server at work and outlook 2007 on my laptop and WM6 on my PDA and they all sync just fine. If you use Exchange, here is what I did:
All rules created on my laptop (Outlook 2007) are server side. You have the option of making rules either client side or server if you did not know.
I use Emoze ( www.emoze.com ) to sync everything up since for some reason I can not get activesync to work properly (certificate problem).
Check it out, it is free and it works very well.
I have 18 sub-folders that sync perfectly!

you can get them to sync but no notification
to get the emails to the phone just go to outlook on the phone and go to tools then manage folders and there you can check which folder you would like to sync to the phone
but the phone will not notify you when you get a new msg in anything other then the indox folder
still cant figure that one out

Sync mail accounts and Outlook account?

I've not seen this one answered before, so hopefully someone knows now...
You can set up POP3 mail accounts on your phone, so you can download e-mail on the go. You can also sync the mail on your computer's Outlook onto your phone. But can you do both?
Is it possible to read the mail from your POP3 on your computer, via Outlook, sync it to your phone, then when you're away from your computer, download and read your new mail on your phone, then when you get back to your computer, have that e-mail that you downloaded sync'ed back to Outlook on your computer?
Very interesting question. As far as I'm aware it can only go one way. You can sync (download) to your phone, but I don't believe it's possible to sync in reverse (have mail sync from your phone to your pc). But just out of curiosity, why would you want to? As long as your "Leave copy on server" option is checked in outlook, your mail will always be on your email account's server until you delete it, so that should negate you having to sync mail back to your pc. Unless when you are downloading mail directly to your phone while you are away from home there is no copy left on the email server, which is definitely a possibility. If that is happening, I would contact the cellular service provider to see if there is a way to view basically a copy on your phone while leaving a copy intact on your email server.

Been thinking about the same question recently. And i can see the reason for wanting to reverse sync.
Say i have e-mail sync'd between pc & wizard. I go out and check my mail and download 5 new messages (leaving on the server). Now i go home and my pc gets the new 5 messages. when i sync will i end up with a double copy of my e-mail on my Wizard?
i cant currently test as my PC is in pieces so i've been using my wizard for e-mail, but its not under "outlook mail" but a new account conencting directly to the pop server, can i have 1 account that will sync to outlook or pop?

you can sync outlook and a pop3 account if seperate
for instance, i sync my inbox with my outlook which works fine
i also have a new "account" in my messages area which downloads my pop mail via gprs or wifi (whichever is in access).
when you download mail from pop, it still stays on server which is good... then when you get home, you can download these on the machine
as far as i know, you cannot sync the mails back to outlook because of the way it treats the mails but i might be wrong as ive not tried it... if i remember, i will trty when i get home.
also there is limits and attachment restrictions etc so not sure how they would work.
What the poster means (At least what I like to know), is if it's possible to sync Outlook mail. Then, on the go, you want to check if there's mail. Here you have to create an account. Is it possible to have the Outlook-account of the pda have the mail checked? So only the new messages, which haven't been outlook-synced are downloaded...
Because, now, on the go, when I do a Dial-in or on a Wifi hotspot, my 'Outlook' can't download new mail. And another account (the dial-in one) starts downloading messages of 3 days (I know you can set this, but that's only half a solution...)

The only two-way sync to the desktop is Outlook Exchange mail.
Hi I've been tracking this topic on many sites, and have seen no answer.
If you only have POP3 (imap and exchance are ok), you are screwed.
I have on the PPC the oulook boxes, and a seperate account (setup like the account on my PC-outlook), that works fine on Pop3 via wifi or gprs.
What any pop3 user likes to do, is sync your PPC, get out and reply, send and receive mails. This is how it works:
- read your mails, do a reply! (which is not possible, as the oulook on you PPC cant send receive)
- so you like to copy that mail to the seperate account (Which is not possible too, you cant move mails between boxes)
- so you copy the content to a new mail in the seperate account, (and add all the cc's that where in the list, ohw!) and do there a send/receive, done...
- really?... how to get your send-mail back to your outlook send items box???, so you set yourselves in bcc for all send mails (or get a program for that)
Its a pain and a waste of time (anyone who knows a better solution, tell me and dont tell me the Imap or exchance story)
I think the solution can be 2-ways:
- or a patch that makes the send/receive available for the outlook account on your PPC
- or a mailbox-copy / move function, that eases the copying between the accounts.
Anyone has these solutions?

Best way for e-mails?

I'm just asking for everyone's opinions please.
At the moment I'm using a GMail account, where I forward all of my mail to mail2web and that in turn gets sent to my Hermes and on my PC I'm using Microsoft Outlook, so if I receive an e-mail it get's read three times. Now I like my GMail interface and I was wondering if there was anyway at all that I could simplify this so that if I open the mail once, it's shown as being read over them all?
I don't mind having to drop GMail if need be, but my main annoyance is reading an e-mail on my Hermes and then having to click it as read in Outlook on my PC.
Use Gmail if you want.
Download your Gmail to your PC with Outlook and use EMOZE to push your Outlook mail into your Hermes.
This way if you write and Email with your Hermes and send it gets in your Outlook Sent Items folder and if you erase an Email using your Hermes it gets erased in your Outlook.
Unfortunately I don't keep my PC on 24/7 when I'm away from it. I've just found an Applet by Google (found at http://googlemail.com/app from your PDA), the only problem is that it doesn't refresh itself and it doesn't notify on new mail. If anyone knows how I can arrange it so it does then I'd love your assistance.

I want to be alerted when subfolders receive mail.

My work, unfortunately, uses Groupwise and I'm gonna get no support in getting a Groupwise mobile server or anything setup, so I'm stuck with syncing local for contacts and appts and tasks. I am, however, using and IMAP access to get my emails, and this works pretty well with the default Pocket Outlook email client.
One thing missing is that I have a couple of subfolders where I have rules that automatically direct emails from like my Boss or other people into the folder so it doesn't get lost in the shuffle of other stuff. However, I'm not getting notification when new emails are pulled into those folders. If I go into my email program I can see that I have new emails there, but I get the buzz or message icon that I have new emails. Is there anyway to make it so when new messages get pulled into the subfolders that I also get notified?
Ideally I'd REALLY like to stick with the default email program as I'm also using Mobile Shell and mobile shell apparently only integrates with the default email app.

I would like the same.
I have never found a fix to this issue and IIRC it is a limitation of the software.
I am using gmail so I just set up forward rules and dummy accounts. So I had account X with sub directory Y I have the email intended to Y get forwarded to account A and set A as a separate account. I dont know if this would work with mobile shell ( if it only looks at the outlook account)

It is indeed an Outlook issue. It only sends alerts on mails in the inbox. On my exchange server, the emails are redirected on the server before Outlook ever sees that they touch the inbox and thus no alert.
The only solution is some sort of third-party app, that would be nice.
If you're using Groupwise as your mail server, what is the email client you run on your workplace computer? And your workplace computer OS?
If your accessing Groupwise mail through Outlook on your work computer, your rules can be setup as client side instead of server side rules. If Groupwise behaves like a MS Exchange then your client side rules would only process when you're logged into your Outlook client. So when you're not in front of your PC, you wouldn't move your mail from your Inbox. Thus making them invisible to Pocket Outlook.
Or you could setup some special notification or delayed move rules. Again assuming you're using Outlook. Ornic InboxRules can be used to create some complex rules if you go that route. I haven't personally used it, but I used the predecessor to it called CaTrap to parse the sender, subject, and parts of the body into a another email and forward that via SMS to my phone.
If you can manage to get stuff to your Pocket Outlook Inbox, there are a few good tools that will give you advanced notification options on your phone. See this thread for details. Hope this helps to get you started.
You can see on http://www.magica.ro/pda_pocket_checkmail.php an application which solves your problem; it works together with ActiveSync and Outlook Mobile in order to alert users about unread mails in Inbox and Subfolders.

- audio alert when new messages are received;
- audio reminder if the new messages where not read (the interval when these verifications are made is selectable by user);
- by taping on CheckMail application, user can open Messaging application (Outlook);

Still having gmail problems

I had problems with syncing my googlemail account with my HD2, and couldn't get old messages to sync. I've now fixed this thanks to advice received on here, at least for my inbox. It still won't sync sent mail, or other mail folders, even though I've checked them in the box to sync in "mail menu>tools>manage folders"
Can anyone help with this issue?
I'm confused. If you use the IMAP protocol then your email folders get synced anyway. That's how mine works (not bothered with push-mail as I don't need it).
Can you explain your problem better please?

For me, Gmail sync worked nicely for inbox but not for sent messages. After working a lot on the problem, I found that you have to specify folders (meaning sent mail folder) also on Activesync on your PC with the HD2 connected. At least syncing sent mails then worked for me. So, check out the active sync desktop sync settings also.

My inbox syncs but no the sent message folder doesn't, nor do other folders from my gmail account.
Yes you are right re Gmail. I am rooting around for a solution at the moment. Will let you know if I find one.
Have got a gut feel that youmight only be able to do the full folder set through outlook. I'm searching now.

Had a look at active sync, and there's no setting for Gmail. There is one for Email, but this does not affect Gmail. Any other ideas?
Hi, well I am now a bit unsure about my suggestion to fix it via Active sync on the PC. I just now had to reinstall gmail (after hard reset for other reasons), and initially I did not get any mails in the sent folder. However, I then unchecked the sync mark for "sent mails" both on the HD2 and PC. Then rechecked them. Still did not work. Then I sent an email, and voila first this email got into the sent folder, and after some seconds all the rest of the sent mails on my gmail account appeared.
So, end result is that after changing back and forth whether to sync the sent mail folder, and sending emails, I got it to work. Not a very clear help, sorry, but I am sure you will get it in order in the end

It does show sent mails from my HD2, but not ones sent from my laptop

Noticed something very strange with Gmail. I've just logged onto my Gmail account and I now have 2 sent mail folders since using my HD2. One has all mail sent from my laptop, and one the mail sent from the HD2.
Does anyone know why this is and how to merge the 2?

I just looked at the link you posted about gmail, and it appears it's someting to do with gmail's servers or something. What I don't understand is why it worked fine on my iphone, but not my HD2. Perhaps someone can explain? (May I just remind folk I'm not that clued up on all the tech stuff)
Also, I have outlook on my computer linked to my googlemail account, and am trying to figure out how to set outlook on my phone to sync with it, but I sure as hell can't figure it out. I've searched "outlook" but can't find the answer. Does it only sync when connected to the computer? if so this means I wouldn't be able to access my mail whilsst out and about so no use to me

Using the link posted above I've used this method
"The only other workaround I can think of is to set-up a filter on the web-side of gmail that filters any items you have sent into the new 'Sent Items' folder, which was created when the mobile sync took place. This way, at least your sent mail will show up under 'Sent Items' on the phone. Again, not optimal, but is another option. The major downside to this option is if you use Outlook, you will actually see 2 send item messages, the original and the one that is filtered"
At least I can now see all sent email, although I cannot retrieve old sent email, ie those sent prior to setting up a filter. But from now on at least it should be ok, fingers crossed. I've not managed to sync outlook to the phone as it's on my personal computer, and as I understand it I need to be linked to an exchange server (whatever that is) to be able to sync

I would advice care in syncing too many folders if you use the method above as:
a) it may take ages to do and
b) rapidly kill your battery.
I have simply gone for Inbox & Sent, which will do me for now while I am on the move.

Email question

Hi All,
My omnia is synced with the same email i use in outlook.
My question is, once I have viewed an email in outlook, how do i stop that email downloading to my phone, so that i dont get all of my emails twice.
This didnt happen with my old iphone, but im not sure how to fix it with omnia.

You have to set Outlook to download the Email and delete it from the server! Your phone will sync all the mails that are lying on the server, no matter if you have already read them or not -all phones act the same here, so if it has been working on the iPhone you made something different.
What Mail provider and protocol do you use: POP, IMAP or Exchange?
You'd want to use pop for that. IMAP or Exchange doesn't make sense if you want to delete emails from your server.
Use pop and delete emails from server after collecting them in your outlook.
